Appointment Scheduling Policy

Virtual Appointments are available
Mon, Weds, Friday 8-2pm EST,
Tuesday and
Thursday 2-8 pm EST

Appointments can be scheduled 24 hours in advance

Lab Reviews require labs to be sent to
labs@holisticfamilypracticeva.com prior to appointments

Zoom links are sent out the morning of your scheduled appointment

Invoices are sent out 24 hours prior to appointments

Cancellation and Rescheduling Policy

  • We require a 24- 48 hours notice to cancel or reschedule an appointment
  • We offer one courtesy late cancel, but afterwards we charge a $50 late cancel fee
  • Cancellations can be texted to 757-685-4325 or emailed to frontdesk@holisticfamilypracticeva.com

Payment and Fees:

  • Outline your pricing structure, including the cost of virtual appointments.
  • Payments can be made via visa, mastercard, discovery, and american express
  • Invoices will be sent to patients via email 24 hours prior to appointment if the patient is not In a treatment plan

Privacy and Data Protection:

  • We comply with HIPAA and GDPR standards
  • We collect data in our secured portal
  • We safegaurd your personal information

Confidentiality:

  • Our appointment will be one-on-one unless otherwise noted
  • Disclosures are required to be made based on written requests

Late Arrivals and No Shows:

  • We do ask to arrive on time. If you are more than 15 mins late for your appointment, we reserve the right to cancel or reschedule your appointment
  • If late we will try to accommodate the full time, but cannot make an guarantees based on the schedule

Technical Requirements:

  • A stable and reliable internet connection via computer, labtop, tablet, or smartphone Disclosures are required to be made based on written requests
  • Virtual appointments are conducted via Zoom
  • Patients will require a webcam and microphone
  • Patients can also request phone appointments instead of Zoom

Refund Policy:

  • Refunds are not available for completed appointments

Code of Conduct:

  • We do not permit yelling, name-calling, or threatening in the appointment
  • If youi choose to use this type of communication, the appointment will be ended and payment will be expected
